Move-In & Move-Out Booking (Voyage Control) - Does it apply to you?

As we approach the WCET–NSWOCC Joint Congress 2026 at the Vancouver Convention Centre, we’d like to share an important logistical step for exhibitors planning their arrival and departure.
To support a smooth and efficient move-in and move-out process, the venue requires certain exhibitors to pre-book loading dock access through a system called Voyage Control.
Who This Applies To (Important)
This process only applies if you are:
Using your own carrier
Working with a booth builder
Coordinating with a third-party logistics provider
This process does NOT apply if you are:
Shipping through official providers such as Levy Show Service or Cross Connect
Hand-carrying materials through the parkade
Voyage Control is required for any vehicle accessing the East Loading Dock during move-in and move-out.
The following scenarios require a Voyage Control booking:
Exhibitors using their own carrier, booth builder, or third-party logistics planning to come directly to show site
Exhibitors driving their own vehicles to unload at the loading dock
Exhibitors who have pre-booked show site material handling with Levy
→ Levy's team will receive and deliver materials from the dock; however, booking dock access via Voyage Control remains the responsibility of the exhibitor or their carrier
The following do NOT require a Voyage Control booking:
Shipments sent in advance to the Cross Connect warehouse
→ These are pre-scheduled and coordinated directly with the venue
Hand-carried items (via parkade or main entrance, no dock access)
→ No booking required
So, if a vehicle is accessing the loading dock, a Voyage Control booking is required — regardless of whether Levy is providing show site material handling.

Important Reminders
Share the booking code and instructions with your carrier, booth builder, or logistics provider so they can book directly
Time slots are limited and may fill quickly—early booking is strongly recommended
All drivers must present a booking pass (printed or digital) upon arrival
High-visibility safety vests (PPE) are mandatory for loading dock access—please plan accordingly
Be sure to include your company name and booth number when booking
All exhibitors and contractors must follow onsite safety requirements during move-in and move-out
